5 Follow-Up Sequences Every Insurance Agent Needs
By Jay J.P. Peak
Most agents I meet have one follow-up sequence, the one they do in their head, when they remember, when the day is not too crazy. That is not a sequence, that is a coin flip. Here are the five sequences that should be running quietly in the background of your agency, whether you have a team of ten or you are a one-person shop.
1. New lead sequence
Trigger, a fresh lead comes in from any source. Cadence, first touch inside five minutes, second touch same day, third touch the next morning, fourth touch two days later, then weekly for three weeks.
Draft the first touch with AI in your voice, short, specific, one question, one soft next step. Same for touches two through five. You review and send, so nothing goes out that you did not sign off on.
2. Quote-sent sequence
Trigger, you sent a quote and they went quiet. Cadence, day one check-in, day three benefit-focused nudge, day five soft deadline, day ten last-call.
The trap here is sounding desperate. AI-drafted follow-ups fix that because you can tell it, keep this warm and confident, no pressure language, one useful reason to reply. Read, tweak, send.
3. No-show sequence
Trigger, they booked a call and did not show. Cadence, same-day warm rebook, two-day reason-to-reschedule, five-day final offer.
Most agents ghost the no-show right back. Do not. Half of them had a real conflict and would love a second shot. A short, kind, professional rebook message wins these back all the time.
4. Renewal sequence
Trigger, the client's renewal is 60, 30, and 15 days out. Cadence, a heads-up at 60, a value-focused review invite at 30, a hard checkpoint at 15.
This is where AI earns its keep for existing agencies. It watches the calendar, drafts the outreach, personalizes with what you already know about the client, and hands you the message to send. Renewals that used to slip through cracks stop slipping.
5. Cross-sell sequence
Trigger, a client has one line with you and a probable need for another. Cadence, a soft educational touch, a specific offer touch, a check-in touch. Spaced out so you are not hammering them.
Use AI to segment your book and surface the candidates. Life-only clients with young children and no term coverage on the spouse. Auto clients with newer homes and no bundled home policy. Small business owners without a proper umbrella. It will draft the outreach, you review and send.
How to actually get these running
- Pick one sequence to start with, the new lead sequence is the highest leverage.
- Write out the cadence and the tone you want.
- Feed your AI assistant three or four real examples of how you already write to clients.
- Turn it on, review the first week of drafts closely, adjust the tone if needed.
- Add the next sequence once the first one feels tight.
Do not try to launch all five in one week. Sequence them in. Two months from now you will have all five running quietly and consistently, and the effect on your close rate and your retention will be real.
